PROCESS FLOW > Transcribed files are downloaded by ZipIT Clients via internet from a HIPAA Compliant server.
The completed reports in the desired formats are returned electronically to our HIPAA compliant server wherein clients can download the transcribed files. Our secure server makes the electronic transfer of your transcription quick, easy, and readily accessible. All that is needed is a simple download of free software that enables you to access only your files on our server. This can be accomplished by helping you with the installation via internet.
When you download your transcribed files, all the dictation for the day will be included in one file. The file will be accompanied with a Log. The Log is an effective tool that indicates who dictated the reports, the patients’ names, the date the patient was seen, the job number assigned by the dictation system, the file name, and the date the file was sent to the secure server.
We are having our Windows 2003 based FTP Server with full user level security so that unauthorized access is restricted. We provide individual username and passwords to our clients through which they can log-in to our server and receive the transcribed documents. All files in our FTP Server are 128 bit encrypted, which decrypts only at our client end with decryption password. This is highly efficient method for data delivery because it is easy, fast, and secure. The delivery process of our FTP server can also be automated using our customized File Transfer Utility Software.
If you are unable to use our FTP server, we can either send your reports by fax, mail, or secure e-mail. We achieve secure, reliable, fast, and trackable delivery by relying on secure data transfer protocol. Each transcribed file is sent as a secure, encrypted data directly to the secure server. Each time a client downloads the transcribed files from the secure server, a client-authenticated and encrypted connection is established between client PC and the secure server, using the same robust security measures used to protect confidential transaction via internet: industry-standard SSL (Secure Socket Layer) protocol.
